Quick and Easy Data Entry

The PMA program gives you eight ways to enter billing data, you can choose one that best fits your needs. The initial billing, the first billing, should be done on the Detailed Billing screen where you enter all of the information required for insurance claims, such as procedure codes, diagnostic codes, TOS and POS codes. After that you can use different screens to enter data as they will use these codes as defaults on new billing slips.

If you are entering billing for a number of patients for a certain provider, a fast way is to use the Provider's Ledger screen.  The provider listed on the Provider's Ledger screen will be the last one accessed. Here you can simply type in the first few letters of the patient's name, press a key to get the full name, enter a co-payment if any and then press a key or click on Post to post the charge. It's that simple!

Another fast and simple way to enter billing is on the Provider's Schedule screen. Find the correct date and time in the schedule, type in the first few letters of the patient's name, press a key to get the full name, and then press a key to post it.

The Fast Billing screen allows you to quickly enter a number of charges for the selected patient and even print a statement.

The Fast Credits screen allows you to quickly enter a number of insurance payments for the selected patient.

The Group Billing screen allows you to quickly enter the billing for all patients that attend a group session.

The Batch Mode billing feature enables you to enter billing with a batch mode identifier which contains the batch mode number and the name of the user who entered the billing.

You can also use the Detailed Billing screen or the Billing Grid screen to enter billing. However, the Billing Grid screen does not give you any computed assistance, you must enter all fields manually, including updating the Patient's record on the Patient's Grid screen.

If you use a Palm Pilot or Microsoft Outlook, you can send billing data to PMA from Outlook.  Select the entry in Outlook's Calendar screen and send it to PMA in iCalendar format. In PMA, when it tells you that you have data from Outlook waiting, press a key on the Main Menu to import the data. The billing data in Contact must start with an optional account number identified by a pound sign and/or the patient's last name, comma, first name space middle initial. The optional procedure code is enclosed in parentheses. Examples of contact information sent to PMA are:

Once your billing data is in the database you can print reports, patient statements, and insurance claim forms. Patient statements are intended to be given to the patient (or the 'bill to' party) and claim forms are sent to the insurance carriers. You may want to give a 'superbill' (a statement that includes procedure and diagnostic codes) to the client and let them submit claims to the insurance carriers.
